INSTITUTIONAL STUDBOOKS

Institution Studbooks help a facility to manage a species within their own collection or across multiple institutions. Institution Studbooks are available for Species360 members. Institution Studbooks can be moved between institutions and can be promoted to Regional or International Studbooks. Regional and International Studbooks can be moved to Institution Studbooks if they are no longer managed within the region.

A studbook administrator will be set up at each institution that has studbooks to manage the studbooks and studbook assignments at the institution. Help on Studbook Roles in ZIMS.

 

To get an Institutional Studbook created or migrated, contact support@species360.org . They will need the following information:

• Institutional studbook creation/migration request must come from a studbook admin. If one does not exist yet, the request must come from a local admin at your institution support can work with them to determine who should be a studbook admin going forward.
• Studbook Name (what you want the Studbook called) – only if creating a new studbook from ZIMS data
• Taxonomy ( see help document )
  • If the Taxonomy should include taxonomy below
  • If the Taxonomy should include obsolete Taxonomy for the selected Taxonomy
• Gestation/Incubation Period – only if creating a new studbook from ZIMS data
  • Minimum/Average/Maximum Period (in days)
  • Period to be used for calculations
  • Maximum Birth Date Range for Litter Mates
• Optional (this information can be completed later by the Studbook Keeper) – only if creating a new studbook from ZIMS data
  • Description
  • Species Notes
  • Conventions/Assumptions

 

If creating a new studbook, you will also need to let them know if you want the Studbook saved with ZIMS data or if you want to start with a blank database. See below for the rules for Save with ZIMS data to help you decide which option you want.

 

To assign a Studbook Keeper to the Studbook they will need:

• Persons Name
• Studbook Title (if other than Studbook Keeper)
• Assignment Start Date
• Studbook Role
• Users will need a ZIMS account to access the studbook. Anyone at your institution can be a studbook admin and get full access to all studbooks and their DEM at your institution, but not anyone outside of your institution.
• You can assign access to your studbook from other institutions through the studbook assignment menu so you can collaborate.

 

Once created/migrated by Species360, the studbook will appear along with any Regional studbooks the user has access to in My Studbooks. Instead of a Regional Association, the scope of the studbook will be the institution hosting the studbook. ( see Studbooks from ZIMS data )

Studbook Admin sees all institutional studbooks regardless if they are assigned to them or not. They do not see regional studbooks held at their institution unless they are assigned by the Regional Association.

If you request to Save with ZIMS data, the following rules apply:

• Animals that meet the taxonomy selected and have been held only at the studbook institution creating the studbook, then those animals will populate automatically into the studbook.
• Animals that meet the taxonomy selected but have been held by more than one institution (one of these institutions must be the studbook institution) will populate into the Suggested Animal list.
• All animals that automatically populate into the studbook will have temporary IDs.
• At this time, the Institution Studbook ID will not be automatically added to the Husbandry Identifier grid.

 

 

 

 

If your institution has multiple studbooks you can export a list of all Users from the Studbook List > Actions > Export Full User List.
